Services fall into five areas: Laurel Supports (behaviour consulting for children, youth, and adults, in person and virtually); Employment Services; Home Living (shared living, semi-independent and fully staffed homes, and supported independent living); Community Inclusion (including specialized arts and theatre programs); and Explore (service for adults focused on self-discovery and independence).

posAbilities is known as one of the most innovative community living organizations in British Columbia—including a dedicated development team bringing applied research and service design into everyday practice resulting in a built framework of human flourishing.

posAbilities is also growing. In 2025–26 it received a direct award of six new programs, welcoming approximately 70 team members, and expanded its Behaviour Support Services across Vancouver Island and the Lower Mainland.


The Opportunity

posAbilities is recruiting a Director of Administration.

Reporting to the Chief Executive Officer, the Director is a member of the Executive Leadership Team alongside the Directors of Finance/IT, Human Resources/Labour Relations, Programs, and Community Engagement. Together with their teams, they form the Head Office group known as CHAMPS (Community Engagement, Human Resources, Administration, Finance/IT, and Program Management), 87 people in total.

The Director leads the Association’s administrative backbone — governance and corporate administration, privacy and records, operations information management, quality assurance and CARF accreditation, property and fleet, insurance and risk, and legal and contractual affairs — supported by a team of six direct reports.

This is a working-director role designed for a versatile, organized, and decisive generalist: someone who sees how many moving pieces connect, keeps things agile, and knows when to lean on specialists. The team includes experienced database administrators, a quality assurance and accreditation lead, and a property and fleet manager, so the Director does not need to be a technical expert in any one area. What matters most is judgment, accountability, and the ability to learn quickly — the technical elements of the role can be learned on the job and with support from the team.

The long-serving incumbent is retiring from the organization, and a structured transition is planned, including a period of overlap and continued availability for questions after handover. The new Director will join as the Association prepares for its next CARF accreditation survey (anticipated spring 2027), as its ShareVision database approaches a major version upgrade, and ahead of other significant projects in the new year.

The position is based at the Head Office in Burnaby, with the option to work from home two to three days per week following an initial integration period.


Key Responsibilities

The Director is accountable for the areas below, setting direction, ensuring quality and compliance, and relying on specialist team members and external partners for day-to-day execution.

Leadership & Corporate Administration

  • Provides strategic and operational leadership to the Administration department, mentoring and developing a multidisciplinary team and fostering a culture of accountability, collaboration, and continuous improvement.

  • Contributes as a member of the Executive Leadership Team to organizational planning, decision-making, and policy development; develops departmental goals, work plans, and budgets aligned with strategic priorities.

  • Oversees the corporate policy and procedure library, ensuring policies, forms, and templates are current, consistent, and standardized across the organization.

  • Approves expenditures above delegated thresholds on a regular, fast-moving payment cycle, ensuring procurement requirements, vendor compliance, and funding sources are in place.

  • Administers corporate banking correspondence and corporate credit cards.

Governance, Legal & Corporate Reporting

  • Supports the Board of Directors and its committees, attending Board meetings and ensuring sound governance processes, with day-to-day board secretarial support provided within the team.

  • Ensures compliance with the BC Societies Act, coordinating annual corporate filings, registrations, and statutory reporting.

  • Acts as the liaison with legal counsel; coordinates contracts, commercial leases, mortgages, and agreements, reviewing documentation to protect the Association’s interests and engaging counsel as needed.

  • Coordinates reporting to financial institutions, government agencies, regulators, and funders, including BC Housing.

Information Systems, Privacy & Records

  • Holds executive accountability for the Association’s person-served and HR database (ShareVision), which supports over 600 users — ensuring its integrity, security, and usefulness; partnering with fellow Directors to prioritize requests and shape its evolution; and guiding the upcoming version upgrade. Database Administrators handle day-to-day administration, troubleshooting, and development.

  • Serves as the Association’s Privacy Officer, ensuring compliance with privacy legislation and contractual requirements, leading breach management and responses to disclosure requests, and delivering privacy training.

  • Serves as Complaint Resolution Officer, managing formal complaints through to resolution with discretion and good judgment.

  • Ensures records retention and information management practices meet legal, operational, and contractual requirements.

Quality Assurance & Accreditation

  • Holds executive accountability for CARF accreditation, including the application and survey process, organizational readiness, and ongoing conformance, serving as the primary liaison with CARF.

  • Directs the Manager of Quality Assurance & Training, who works with program and department leaders; accreditation readiness is a shared responsibility across every department, and the Director keeps the effort coordinated and on track.

  • Oversees the Outcomes Management Report and Performance Measurement Plan, and the analysis of incident, survey, and outcome data to identify trends, risks, and opportunities for improvement.

Property, Fleet, Insurance & Risk

  • Oversees the Association’s property portfolio, including the BC Housing and the Provincial Rental Housing Corporation portfolio, lease negotiations, head office operations, renovations, and capital planning, including replacement reserves and funding sources.

  • Oversees fleet management with the Property & Vehicle Manager and an external fleet management provider, including replacement planning.

  • Procures and administers the Association’s insurance program for the organization, its employees, and its Directors, monitoring coverage, claims, and renewals.

  • Supports enterprise risk management as a member of the Risk Management Committee, identifying emerging risks and ensuring compliance with legislation, funding agreements, and organizational policies.

  • Oversees telecommunications, office equipment, and administrative infrastructure; participates in the Health and Safety Program and supports emergency preparedness and business continuity.


Essential Qualities & Experience

The ideal candidate is an organized, decisive, and collaborative leader — a generalist in the best sense — who brings order to many moving parts. They are curious and hands-on, comfortable making sound decisions quickly with the information available, and careful with deadlines. They hold high standards with warmth and respect, are confident asking questions and stepping in when something needs attention, and are as comfortable working alongside the team, where necessary, as leading it.

posAbilities welcomes candidates from a range of backgrounds, including professional services (law, accounting, engineering, etc.) administration, operations or corporate services management, and project management, as well as HR, finance, or information management leaders who have broadened their scope into general corporate administration. Experience in community living or the broader not-for-profit, social services, healthcare, or public sector is an asset but is not required.

Candidates will ideally bring:

  • Seven or more years of progressively responsible leadership experience, including at least five years leading and developing a team with varied responsibilities;

  • Strong organizational and project management skills, with a track record of keeping multiple priorities on track in a deadline-driven or compliance-oriented environment;

  • Sound judgment and discretion in handling confidential and sensitive information;

  • Familiarity with, or the aptitude to quickly develop, working knowledge of governance, privacy, records management, and regulatory compliance;

  • Comfort with information systems and data — a practical understanding of how a database works and how to guide its evolution; technical or programming expertise is not required;

  • The ability to read and interpret contracts and leases and to recognize when to engage legal counsel;

  • Financial fluency sufficient to manage a departmental budget and approve expenditures within a procurement framework;

  • Excellent interpersonal and communication skills, with the ability to build relationships with staff, executives, Board members, funders, accreditors, and legal counsel; and,

  • Openness to new technology, including AI tools, and to piloting new ideas.

A bachelor’s degree in business administration, public administration, information management, or a related field, or an equivalent combination of education and experience, is expected. Professional training in privacy, records management, quality assurance, risk management, or governance is considered an asset.


Compensation & Search Process

The Director of Administration position is budgeted to pay competitively within the sector, depending on experience. The salary range is $120,000–$135,000, complemented by a comprehensive benefits package that includes extended health and dental benefits and a defined benefit pension plan.

The search process will include longlist, shortlist, and interview stages, with a panel that includes members of the Executive Leadership Team. First-round interviews are expected to be virtual, with final interviews in person. Finalists will be asked to provide comprehensive references and consent to a background check. We expect to complete our first review of applications by November 13th, 2026.
